The Equipment Purchase Checklist I Wish I Had in 2020: Laser Levels, Financed Engravers, and Printers

My title is office administrator, but my actual job is making sure the company runs. I manage purchasing for a 38-person operation. That's roughly $480,000 a year across 25 vendors, give or take. I don't call myself an equipment expert. I'm the person who buys equipment from people like us.

When I took over purchasing in 2020, I had no formal process. That changed after a request for a Ryobi laser level, a quote for laser engraver financing, and a question about DTF paper all landed in the same week. Here's the six-step checklist I now use for any equipment purchase.

Step 1: Define the job, not the product

People think expensive vendors deliver better quality. Actually, vendors who deliver quality can charge more. The causation runs the other way.

So start with the task, not the brand. The maintenance team asked for 'a Ryobi level laser.' Good. But did they need a self-leveling cross-line laser for mounting shelving, or a rotary laser for setting foundation grades? Completely different tools.

Ask 'What will this be used for?' and 'How often?' If it's weekly indoor use, a basic Ryobi laser level will probably be fine. If it's daily outdoor work, you need higher accuracy, better dust protection, and a decent tripod. Brand matters less than specs.

Step 2: Write a spec sheet, then verify it

Don't rely on marketing language. For laser levels, check accuracy in millimeters per 10 meters, range, and whether the unit comes with a calibration certificate. If a model says '±1/8 inch at 30 feet,' that's your spec. If it doesn't state a spec, ask why.

The same discipline applies to printers. Industry standard print resolution for commercial work is 300 DPI at final size. If you're evaluating an inkjet for transfer papers, ask whether it can actually handle the media weight—not just 'photo paper.' Paper weight equivalents matter: 20 lb bond is 75 gsm; 80 lb cover is 216 gsm. A printer rated for 'cardstock' does not automatically mean it can feed film-backed transfer material.

And if color consistency matters, keep this in mind: brand-critical color tolerance is Delta E < 2, according to Pantone Color Matching System guidelines. Most people can't see the difference between 2 and 4. Your client's logo can.

Step 3: Ask the consumables question early

This is where I got burned. The sales rep said 'works with any inkjet printer.' I heard 'any inkjet printer.' Result: a $700 invoice and no way to actually produce the transfer.

The question was: can you use DTF paper with an inkjet printer? Short answer: no, not a standard office inkjet. DTF, or direct-to-film, uses PET film and adhesive powder, not regular paper. It also requires a piezo printhead printer with DTF ink.

If you see a product labeled 'DTF paper' and someone claims it works with a normal inkjet, ask for a compatibility sheet. 'Should work' is not a spec.

Step 4: Add up the real cost over three years

This is my personal crusade. The cheapest option is often the most expensive thing you can buy. In my experience managing these purchases, the lowest quote has cost us more in maybe 60% of cases. Possibly 55%—I'd have to check the vendor log.

Take laser engraver financing as an example. It's tempting to compare monthly payments. $200 a month sounds better than $500. But if a longer-term financing deal costs $14,000 versus $12,000 outright, and the machine sits unused for three months, you didn't save.

Here's the formula I use:

  • Purchase price or total financed amount
  • Annual service cost
  • Consumables per year
  • Expected useful life
  • Resale value, if any

Divide that by the number of years you'll actually use the equipment. That's your yearly cost. The monthly payment is not the cost.

Step 5: Check whether your building can handle it

I once had to decline a request for a 3D house printer—not because the technology is bad, but because we don't have three-phase power or a loading dock. The machine was interesting. The installation was the problem.

Before you get excited about specs, ask these questions:

  • Electrical requirements: voltage, phase, amperage
  • Footprint: can it fit through a standard door without disassembly?
  • Ventilation and dust collection
  • Floor load capacity

A 3D house printer is basically a gantry crane with an extruder. It isn't an office purchase. Even a large laser engraver needs air handling. Don't be the person who buys it and then discovers the building only has a 100-amp panel.

Step 6: Verify the vendor can actually invoice you

This sounds basic, but a $2,000 order is not a success if finance rejects the expense. One vendor couldn't provide proper invoicing, and it ended up costing us $2,400 in rejected charges. I should have checked earlier.

We didn't have a formal approval process for equipment requests. The third time we got a surprise rush fee, I finally created one. Now I request a sample invoice, payment terms, W-9, and a named contact before placing any order. No exceptions.

If you're in a B2B company, finance probably has a vendor onboarding form. Ask for it first, not after the order arrives.

Common Mistakes I Still See

  • Comparing units on price without comparing output quality. That's how return trips happen.
  • Assuming 'financing available' means 'financing is a good idea.' It can be, but it's still a debt decision.
  • Using the same words but meaning different things. I said 'as soon as possible.' They heard 'whenever convenient.' Result: delivery two weeks late.
  • Not checking the return policy. 'Customized' does not mean 'returnable.'

A good purchase doesn't need to be the cheapest. It needs to be defensible, documented, and likely to work for the job. That's it.
