A Procurement Manager's Take on Ryobi Generators, Laser Levels, and Print Costs

In Q3 2024, I approved a $1,400 purchase order for a Ryobi 5500 watt generator. A week later, I approved a $40 ream of paper because our facilities coordinator searched 'printer paper nearby' and needed it in two hours. Both were correct purchases. But they used completely different math.

I'm a procurement manager at a 42-person facilities maintenance company. Ryobi tools: what the price tag doesn't tell you

Ryobi is a popular brand for a reason. The lineup covers a lot of ground, the batteries are shared across many tools, and the prices are reasonable. But I don't buy a Ryobi tool because it's popular. I buy it because the total cost of ownership makes sense for our operation.

I'm not saying a vendor has to accept money-losing minimums, but there's a difference between 'here's our minimum' and 'we don't care about your project.' If you get the second response, walk away.

The 'nearby' trap: printer paper and postcards

Procurement is not just about big equipment. It's also about the small things that bleed your budget. Our facilities coordinator once searched 'printer paper nearby' because a client pitch was two hours away. The closest store charged $9.99 per ream. Was it worth it? Yes. Showing up without printed materials would have been worse. The same paper from our regular supplier was $6.70 per ream with free shipping, but it wasn't going to appear in the next two hours.

Before making the purchase, I checked USPS size rules. If your postcard is outside those dimensions, you're paying large envelope rates or risking returned mail. According to USPS pricing effective January 2025, a First-Class Mail letter (1 oz) is $0.73 and a large envelope (1 oz) is $1.50. That difference is bigger than most per-piece print savings.

The 'cheap' printer couldn't hold alignment within those specs reliably. The $450 reprint was my fault for trying to save $120 on the machine. That's total cost of ownership: machine price plus setup plus consumables plus rework plus postage. Not just the machine price.

For standard postcard sizes, online printers like 48 Hour Print work well. For custom die-cuts or same-day in-hand delivery, go local. Know which you need before you shop.

The xTool F1 IR laser: fiber laser or not?

If you need light marking or engraving across multiple materials, a desktop unit like the F1 might be enough, and it comes with a much smaller price tag and footprint. For a small business that can't justify a full-size fiber laser, that's a legitimate answer.

I'm not telling you which to buy. I'm telling you to ask the question before you spend. When someone tells you a desktop laser is the same as a fiber laser, they are not doing the total cost of ownership math.

Where my advice breaks down

This approach works for our context. We are a 42-person company with predictable ordering patterns and a team that can keep tools running for years. If you are a one-person shop, your numbers may look different. You might choose the cheaper generator because your cost of capital is higher and your downtime is lower. You might buy the nearby ream of paper because your time is worth more than $3.29.

Also, I am not a postal regulations expert or a laser physicist. The USPS and FTC sources I linked are solid starting points, but rules change. And if you are dealing with international suppliers or specialty printing, there are factors I've never encountered.

Here's the bottom line: The best deal is the one that makes the next year easier, not the one that looks best in today's spreadsheet. Small order or large order, the right vendor will respect both your time and your money.
